Writing your own press releases and distributing them to the media is one of the most efficient marketing tools. The first thing is to consider what you will say in your press release. Remember, not every event or situation is news. Potential news-worthy stories can include the launch of a new product or service, changes in top management, sales promotion events, large contracts won, or awards and prizes received, etc. It should contain news that is relevant to your target audience of customers and/ or shareholders. Writing your own press release gives you the flexibility to include exactly what you want about your company.

The type of news included in your press release determines the kind of media it is distributed to. If the news is for local consumption, send it to local newspapers and websites. If the news is of national importance, consider sending the press release to national news services.

When writing your own press releases, even though you are writing about your company, always use the third person instead of the first person. For example, say "XYZ Company is introducing a revolutionary new methodology..." instead of "We are introducing a revolutionary..." This provides a more objective and unbiased look to your press release.

Similarly, include only facts and omit all hypotheses, rumors and hype in your press release.

In writing your own press release, stick to the standard format preferred by journalists.

  • Write "PRESS RELEASE" in bold, capital letters at the top of the page.
  • Include a catchy headline for your story right on top of the page.
  • At the top left hand corner, write the release date for your press release.
  • The press release should be written on your company letterhead>
  • Include complete contact details for your company.

Start the press release with a summary of the news that you want to announce. The next one or two paragraphs should elaborate what has already been said in the opening paragraph. End the press release with the standard ### sign that always indicates the end of a press release.
