Here are a few easy ways to ensure a proper press release format:

  • A proper press release format should contain a header with the words "For Immediate Release" in the top left hand corner of the press release.

  • Your headline, containing the message you want to put across, then comes two spaces below.

  • The city your press release is being issued from and the date of issue come next, two line spaces under the headline.

When it comes to writing your press release, make sure the language is simple. Avoid complex words and sentences.

Your announcement should be newsworthy. A proper press release format is never geared towards selling a product, as this dents the credibility it could otherwise get you.

Your press release should be a summary of the facts and opinions about your announcement, and be short!

Finally, just remember to proofread and spell check (twice!) before you submit it.

Just remember to make your opening paragraph energetic, with catchy opening sentences that make listeners sit up and take notice. Include the who, what, where, when and why aspects of your announcement.

Then give detailed and collaborating information in the body text, using quotes, statistics and facts.

A proper press release format should end with a closing paragraph reaffirming your message. It ends with detailed contact information, like the name of a contact person, email address and web address. If you like, you can briefly describe your company and the products and services it offers in italics, under the press release.

At the end of the release, you need to indicate it has ended. Type "End" on the first line after the text is completed. Type "MORE" at the bottom of the first page if there is another.

Your press release is now ready for submission. Once you've identified the sites you want to send them to, check with them for their procedures before submitting them. Some sites accept press releases in email body, while others only by means of an attachment.
